Description:

An award-winning PR agency specializing in luxury hospitality is looking for an accomplished Executive Assistant to support their Managing Partner and VP of Operations, as well as efficiently and effectively support an in-office and remote team of executives across the US.

As an Executive Assistant in this role, you will have the opportunity to:

- Demonstrate continuous effort to improve operations, decrease turnaround times, streamline work processes, and work cooperatively with a great team.

- Conduct research, prepare reports and organize materials and logistics for new business presentations, providing technical support and troubleshooting.

- Organize team culture and communications and plan festive events, both internally and offsite

You’ll also be asked to:

- Provide executive support including calendar management, special projects, travel coordination and general administrative support.

- Manage expense reports and filing reimbursements

- Perform general office duties such as ordering supplies, completing preventive maintenance of office equipment by; troubleshooting office issues; maintaining inventories; and liaising with building management and FINN corporate office such as HR, IT, Payroll, etc.

- Assist with event organization for agency and/or clients, such as new business presentations, hosting clients in office, etc.

- Coordinate on- and off-boarding for new and departing employees

- Lead regular staff meetings

- Manage the agency’s upcoming office move to a new NYC location

Requirements:

- Three to five years of experience at the level of executive administrative assistant

- A mature and accountable demeanor. Possessing the ability to autonomously follow through with tasks from start to completion.

- To be a flexible team player willing to do what it takes to get the job done.

- Excellent computer skills including: Microsoft Office Suite, Canva, and Google Suite.

- An aptitude for learning and using new software programs.

- Knowledge of office procedures, clerical and recordkeeping operations, and the use of various office machines

- To be able to prioritize tasks. coordinate multiple schedules, work effectively under stress, meet short deadlines, and take direction.

- To possess excellent communication skills, both verbally and in writing.

- Be solution-oriented, anticipating problems and understanding needs proactively, rather than looking for direction.

- To possess a strong understanding of confidentiality and discretion

- To be able to work regularly in the New York City office, with the ability to work remotely on occasion.
