PRIMARY FUNCTION/POSITION SUMMARY:
The Account Coordinator works in the fast-paced media relations department to support FITZ & CO’s network of international art world clients. Responsibilities include account planning and execution, active participation in client and team meetings, and the opportunity to attend and work at high-profile industry events. Significant client-facing opportunities and exposure.
ESSENTIAL JOB FUNCTIONS (Duties include but are not limited to the following):
Account Activities
- Work with the Media Relations Team across a range of accounts, overseeing organizational and logistical aspects, including press/client appointments
- Prepare agendas and summaries of client meetings Create weekly, monthly, and final activity reports Update database and mailing lists of media and art world contacts
- Organize and maintain client documents, images and captions, and press materials on server and FTP
Media Monitoring and Reporting
- Oversee reading and tracking of coverage of clients and other relevant news stories in numerous online and print periodicals daily
- Oversee use of Google Alerts and other tools to track additional coverage
- Oversee scanning and formatting of press clippings for each client; finalize clippings and correct as necessary
- Report press coverage links and clips to clients daily/weekly
- Create and maintain detailed media reports for each client daily
- Create clip books of all media coverage, at close of projects
- Research new publications, new writers, and new tools for tracking coverage
- Research, capture, and update editorial calendars for key print publications
- Evaluate processes and search for more efficient systems for tracking media and reporting coverage to clients
- Organize and maintain library of print publications, archiving important print issues
- Manage detailed record of print and online subscriptions
Media Outreach
- Write pitches and conduct outreach to media, building relationships with writers, editors, and producers
- Make telephone calls to media, for both initial outreach and follow up
- Oversee frequent HTML e-mailings of press releases and other media materials
Internship Program
- Recruit, train, and manage interns
- Delegate select media relations and other administrative duties to interns as relevant and supervise
- Coordinate educational projects and workshops for interns
Events
- Work at client events, including assisting with client check-in, escorting photographers, liaising with media, and other client-facing responsibilities
KEY RELATIONSHIPS:
- Media Relations Team
- Clients: reporting daily/weekly, arranging meetings, and attending client meetings
- Media contacts: conducting outreach to place media coverage
SUPERVISORY RESPONSIBILITY: Manage intern recruitment, training, and day-to-day management
WORKING CONDITIONS:
- Work is performed primarily in the FITZ & CO New York office, but also on site at client events both in and outside of New York when necessary
- Account Coordinator is required to be available often before and after company’s normal office hours (M-F, 10-6) and occasional weekends
- Must adopt and make daily use of office systems such as time tracking (Harvest) and CRM.
- College graduate with interest and 1-2 years of experience in public relations, communications, and/or fine arts
- Able to work independently and take on significant responsibility
- Strong written and verbal communications skills
- Excellent organizational skills
- Literacy in digital marketing and social media
- Detail-oriented and good at database management and data entry
- Technical skills: Mac-savvy, Word, Excel, Outlook, Photoshop, Powerpoint. Experience with Salesforce and Harvest a plus
- Experience with HTML templates and creating bulk email distributions a plus
- Fluency in foreign language a plus.
