Our clients include Netflix, Samsung, Peacock, iHeartRadio, Bravo, Olaplex, Dolby, and more.

We're looking for an exceptional Production Coordinator who is highly organized, eager to learn, and naturally thinks ten steps ahead.

About the Role

The Production Coordinator is the organizational engine behind our production team.

You'll support multiple projects from kickoff through reconciliation, helping keep timelines, budgets, vendors, materials, logistics, and countless small details moving forward. You'll work closely with our producers while gaining hands-on experience across every stage of experiential production.

This role is ideal for someone early in their career who wants to learn quickly, take on increasing responsibility, and build a career in experiential production.

The right person doesn't wait to be told what's next. You're curious enough to ask questions, organized enough to know where everything stands, and proactive enough to prepare for what the team will need before they ask for it.

You don't need to know everything on day one. We care much more that you're hungry to learn, extremely organized, resourceful, and someone we can trust to follow things through from beginning to end.

What You'll Do- Production Coordination

  • Maintain project timelines, task lists, deliverables, and production trackers, ensuring nothing falls through the cracks.
  • Stay ahead of upcoming deadlines, approvals, vendor needs, and production milestones, and flag potential issues before they become problems.
  • Support Producers and Associate Producers throughout pre-production, onsite execution, and post-event wrap.Research and source venues, vendors, rentals, materials, products, and creative production solutions.Request and organize quotes, proposals, vendor information, and project documentation.
  • Assist with budget tracking, purchase orders, invoices, and project reconciliation.
  • Prepare meeting notes, action items, production documents, and internal follow-ups.
  • Coordinate vendor onboarding, certificates of insurance, NDAs, and other production paperwork.
  • Help manage shipping, receiving, inventory, materials, and production supplies.
  • Assemble, organize, and pack gifting, promotional materials, and event assets with meticulous attention to detail.
  • Provide hands-on onsite support during load-ins, events, and load-outs.
  • Participate in brainstorms and contribute ideas, research, and creative solutions.

Team + Operations Support

  • Keep vendor invoices and accounts payable documentation organized and current.
  • Support team travel, production logistics, and scheduling, including calendar support for the CEO.
  • Help maintain organized project folders, documentation, and internal systems.
  • Support our interns and help coordinate their weekly schedules and priorities.
  • Assist with sustainability tracking and documentation to support our B Corp commitments and environmental standards.
  • Jump in wherever needed. At a small agency, everyone helps get the job across the finish line.

REQUIREMENTS:
  • 1 to 3 years of experience in event production, experiential marketing, project coordination, or a related field.
  • Strong organizational and project-management skills.Excellent written and verbal communication.
  • Comfortable managing multiple projects, deadlines, and priorities at the same time.Proficiency with Google Workspace, including Docs, Sheets, and Slides.
  • Comfortable working with budgets, spreadsheets, invoices, and administrative details.Ability to work independently while communicating proactively with the broader team.
  • Available for nights, weekends, and travel when projects require it, including occasional extended event days of 16+ hours.
  • Reliable transportation and ability to travel locally throughout greater Los Angeles.
  • Comfortable lifting and transporting production materials weighing up to 50 lbs.
  • Available to work from our Westwood office approximately 2 to 5 days per week depending on project needs.

Experiential agency experience is helpful but not required. If you're highly organized, eager to learn, and have demonstrated that you can take ownership and stay ahead in a fast-moving environment, we want to hear from you.

Compensation

  • $65,000 to $80,000 annually, depending on experience, plus benefits.
