Van Wyck & Van Wyck is a highly regarded environmental design and event production firm with headquarters in New York City. We produce bespoke celebrations ranging from stunning weddings on beaches and mountaintops to international destination experiences.

Position

Van Wyck & Van Wyck is seeking a Senior Project Manager with eight to twelve years of experience in client, event or communications management, or a related field.

This is a dual city position based in New York City with travel to Charleston, South Carolina, and global event sites.

Responsibilities

- Serve as a primary point of contact (written and verbal) for clients and their guests, maintaining Van Wyck’s voice of professionalism and hospitality throughout, from the moment we are secured through post-event closeout

- Proactively advocate for our clients and Van Wyck while building and maintaining positive relationships with our vendors

- Create detailed, to-the-minute coordination timelines for Van Wyck events, including personalized summaries for clients and vendors

- Create other client-facing documents such as contracts, planning calendars meeting agendas and notes, invoices, vendor or venue proposals, planning calendars, concept memos, and F&B summaries, with an eye for accuracy, consistency, and detail

- Prepare event teams for client meetings and site visits, including scheduling and logistics as needed

- Manage print material projects, from save the dates to on-site assets

- Collaborate with the team to brainstorm and source inspirational design ideas for client presentations

- Track event expenses and assist with the creation of detailed event estimates and budget reconciliations

- Assist Partner-level managers with various small projects as requested

REQUIREMENTS:

- A proven passion and aptitude for writing and language

- Superior client service and presentation skills with experience managing clients

- A proactive approach to communication with clients and coworkers

- Intellectual curiosity and resourcefulness in problem-solving

- Desire to own projects and relationships, make them your own, and suggest ways to advance them

- Ability to prioritize and systematically tackle multiple projects, both independently and as part of a team

- A perfectionist’s love of detail and organization

- Poised and polished with a professional mindset

- A positive outlook on life and approach to your work

- Impeccable taste and etiquette, or the desire and commitment to learn same

- 8-12 years of previous experience working in a fast-paced, communications-heavy environment, preferably in events or a related field

- Hands-on, proven project management experience

- Demonstrated creative vision; previous experience in the arts is a plus

- Entrepreneurially minded with an incessant hustle and ‘get it done’ mentality to meet deadlines

- Experience working with and leading a team, especially remotely

- Bachelor's degree from a four-year college or university

- Strong computer skills, including Excel, Google Docs, AutoCAD, PowerPoint, Adobe Suite and other presentation programs

- Strong research skills

- Ability to work flexible hours with long hours as needed

- Openness to travel (domestic and international) for pre-event site visits, meetings, and events
