DESCRIPTION:

The Communications Coordinator will provide direct support and assistance to the Communications team, taking guidance from the Associate Director of Communications. In addition to general support, this position is directly responsible for promoting FAMSF’s public programs and educational initiatives to local audiences. This position works effectively and collegially with a broad range of staff members and has direct interaction with members of the media and demands responsibility, initiative, accuracy, diplomacy, and tact.

This is a temporary seven-month position. 

Duties and Responsibilities

-Responsible for fulfillment of daily media requests including: retrieving incoming calls and emails, monitoring institutional press email address, sending information and images, responding to basic questions, and directing requests to appropriate supervisors, spokesperson(s), and/or departments as necessary. 

-With guidance from the Associate Director of Communications, responsible for maintaining accuracy of media contact database, updating reporter contact information, beats, and all other relevant information. Adds contacts as directed and recommends additions. 

-Crafts compelling and unique pitches that result in positive coverage for FAMSF’s unique public programs and educational offerings.

-Composes press materials for upcoming initiatives including: researching and writing compelling and concise media alerts, fact sheets, supplemental materials, and preparing electronic press kits. 

-Responsible for researching competitor coverage and monitoring local reporter landscape to ensure FAMSF is on journalists’ radar and vice versa. 

-Handles tracking of RSVP lists and follow ups for press lists at all institutional events. Follows up with appropriate parties as needed.

-Supports media visits, photography, videography, and television shoots as needed. 

-Creates biweekly coverage reports and exhibition wrap reports as needed. Provides deep data analysis of key wins and improvements for upcoming campaigns.

-Liaises with the Marketing team to appropriately schedule all PR distributions. Works collaboratively with the Communications team to pull strategic distribution lists.

-Performs other duties as assigned. 

REQUIREMENTS:

-Education:  Bachelor’s Degree in Communications, Public Relations, Marketing, Journalism, or other related field from an accredited college or university.

-Work Experience:  Minimum of two years’ experience in communications and/or public relations. 

Skills and Abilities

-Knowledge of procedures used in preparing and distributing publicity and public information materials.

-Excellent organizational, writing, and communication skills. 

-Requires computer proficiency, including Microsoft Office, Google Suite and database management. 

-Ability to take direction, manage multiple priorities, meet deadlines, and take initiative. 

-Ability to exercise sound judgment, tact, and diplomacy. 

-Flexibility in meeting shifting demands and priorities.

-Ability to work simultaneously on multiple projects in a complex, highly demanding, and fast paced work environment. 

-Discretion to handle confidential information.

-Absolute attention to detail.
