Description:

The Communications Store is searching for a talented and passionate Finance Manager to join their team in NYC. This is a fantastic opportunity for the successful candidate to be an integral part of the growth of our entrepreneurial business as we continue to establish our entity in the USA. 

Our Finance Manager will guide the office to maintain regular profitability as it continues through the early stages of its growth in the USA. As such, our FM will be expected to be entrepreneurial and willing to get involved at every level of the finance operations in the business. This dynamic is key as the successful candidate will initially be solely responsible for running all things finance for a $2m turnover office.  The Finance Manager will work very closely with the President to help maintain the financial health of the company and will play a key role in raising commercial awareness amongst the client-facing teams: assisting, supporting and educating.

Our Finance Manager will be expected to perform their duties with independence and accountability in all areas and to perform consistently to achieve commercial objectives.

Main Duties:

- Accounts Payable – logging invoices, credit cards & expenses, paying and maintaining supplier relationships, and managing the working capital of the office

- Accounts Receivable – raising all invoices and coding to correct departments.  Chasing debts and producing regular sales ledgers.  Escalating collection to client teams where necessary

- Cash Flow – producing weekly rolling cash flow forecasts and handling of inter-company financing requirements.  Monthly Bank reconciliations

- Banking – hold the relationship locally and process payments – set up a 2-part approval process

- Sales Forecasting – working with team heads to update sales forecasts and review departmental sales against department salary costs, ensuring all teams are staffed appropriately

- Posting Payroll Journals each month based on outsourced payroll reports

- Post all necessary accruals and prepayments required each month

- Prepare monthly P&L and Balance Sheet and review against budgets

- Budgeting and Reforecasting – preparing annual budgets and mid-year revisions.  Highlighting any discrepancies early to management along with appropriate action plans

- Tax and Statutory – work with local tax advisors to ensure all regulatory filings deadlines are met

- Commercial – you will be comfortable with costings based on day rates and will be required to review scopes of work to ensure commercial integrity

- Processes – within a grant of authority from HQ, you will be involved in helping set up best practice policies and procedures across the office

- Operational Reporting – produce utilization and recovery reports and help pull together action plans where necessary

- System maintenance – updating all rate cards and employee records as well as taking ownership for time entry

- WIP Management – regular review of WIP ensuring all costs are rebilled timely, accurately and in accordance with any contractual mark ups.

- AD Hoc projects – getting involved with HQ and a wide range of ad hoc analysis aimed at improving financial performance 

Requirements:

The Ideal Candidate is someone who:

- Currently operating as a Finance Manager or similar level, preferably in a fast paced, creative agency environment

- Recently CPA qualified preferred

- An entrepreneurial mindset; a willingness to embrace all tasks from processing to analysis

- An ability to understand micro detail whilst maintaining a macro view

- Confident and experienced in dealing with staff members of all levels; an ability to communicate effectively and build trusted relationships across the business

- Responsible, independent, and collaborative working style

- Must thrive in a fast paced and dynamic working environment

- Embraces change and demonstrates adaptability

- Previous experience/knowledge of Paprika preferable but not essential
